This Privacy Policy explains how Liberty Bookkeeping Pty Ltd (ABN 72 702 558 012) (“we”, “us” or “our”), a bookkeeping and accounting services provider based in Perth, Western Australia, collects, holds, uses and discloses personal information. It applies to all personal information we handle, whether collected through our website at https://libertybookkeeping.site, by email, or in the course of providing bookkeeping and accounting services to our clients.

We are bound by the Privacy Act 1988 (Cth) and the thirteen Australian Privacy Principles (APPs) contained within it. Where this policy refers to the APPs, it is describing our obligations and your rights under those principles.

2. What personal information we collect

The types of personal information we may collect include:

• Your name, contact details (including email address and location within Western Australia) and business details;
• Information you provide when requesting a quote or making an enquiry, such as the nature of your bookkeeping or accounting needs;
• Where you engage our services, financial and business records necessary to perform those services, which may include records relating to your employees, suppliers and customers (for example payroll data, invoices, bank statements and transaction records);
• Information collected automatically when you visit our website, such as your IP address, browser type, pages viewed and the date and time of your visit;
• Any other information you choose to provide to us.

We do not collect sensitive information (such as health information or information about racial or ethnic origin) unless it is reasonably necessary for one of our functions or activities, you have consented, and the collection is permitted by law.

3. How we collect personal information

Wherever practicable, we collect personal information directly from you. This may occur when you:

• Submit an enquiry or quote request through our website or by email;
• Engage us to provide bookkeeping, payroll, BAS preparation or related services;
• Send us documents, records or correspondence;
• Communicate with us in person, by email or through our website.

In some circumstances we may collect personal information from third parties, such as your accountant, tax agent, bank, software provider (for example cloud accounting platforms) or a person authorised to act on your behalf. Where we collect information about you from a third party, we will take reasonable steps to ensure you are aware of the matters required by the Australian Privacy Principles.

If you provide us with personal information about another person (for example, employee payroll details), you should ensure that person is aware of this Privacy Policy and has consented to you providing their information to us.

4. Why we collect and how we use personal information

We collect, hold, use and disclose personal information for purposes including:

• Providing bookkeeping, accounting, payroll and related services to our clients;
• Responding to enquiries and preparing quotes;
• Managing our client relationships, invoicing and receiving payment;
• Meeting our legal, regulatory and professional obligations, including obligations under taxation laws;

We do not sell personal information. We take reasonable steps to ensure that any third party we disclose personal information to handles that information appropriately.

6. Overseas disclosure

Some of the service providers we use, including cloud hosting and accounting software providers, may store or process data on servers located outside Australia. Where personal information is disclosed to an overseas recipient, we will take reasonable steps to ensure the recipient does not breach the Australian Privacy Principles, or that the recipient is bound by substantially similar obligations, as required by APP 8. By providing your personal information to us, you consent to such overseas storage and processing where it is necessary for us to provide our services.

7. Security of personal information

We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. These steps include:

• Storing records securely, with access limited to authorised personnel;
• Using password protection, encryption and reputable cloud platforms for electronic records;
• Securely destroying or de-identifying personal information when it is no longer required for a lawful purpose, unless we are required to retain it by law (for example, record-keeping obligations under taxation laws).

No method of transmission over the internet or electronic storage is completely secure. While we strive to protect personal information, we cannot guarantee absolute security.

8. Access and correction

Under APP 12, you may request access to the personal information we hold about you. Under APP 13, you may request correction of personal information that is inaccurate, out-of-date, incomplete, irrelevant or misleading.

We will not charge you for making a request, although we may charge a reasonable fee for providing access in some circumstances, and we will tell you if that is the case before proceeding. There are circumstances under the Privacy Act where we may decline a request; if so, we will explain the reasons and the available complaint mechanisms.

9. Cookies and website analytics

Our website may use cookies and similar technologies to operate the site, remember your preferences and understand how visitors use the site. Cookies are small files stored on your device. Most browsers allow you to refuse cookies or delete them through your browser settings; doing so may affect the functionality of some parts of our website. Analytics data collected through our website is generally de-identified and used to improve the site.

10. Links to other websites

Our website may contain links to third-party websites, such as the Australian Taxation Office or software providers. Those websites have their own privacy policies, and we are not responsible for how they handle your personal information. 11. Direct marketing

We will only use or disclose personal information for direct marketing where permitted by APP 7. If you receive marketing communications from us and no longer wish to, you may opt out at any time by emailing ceo@libertybookkeeping.site or using any unsubscribe facility included in our communications. On request, we will also tell you the source of your personal information where it was not collected from you directly.

12. Notifiable data breaches

The Privacy Act includes a Notifiable Data Breaches scheme. If we experience a data breach that is likely to result in serious harm to individuals whose personal information is involved, we will assess the breach and, where required, notify affected individuals and the Office of the Australian Information Commissioner (OAIC) as soon as practicable, in accordance with our obligations.

However, in most cases we require identification details to provide bookkeeping and accounting services or to comply with our legal obligations, such as those under taxation laws.
